Customer Essentials

The Customer Module is where all customer and sales related processes are managed by people on the sales team. It provides a 360-degree of your customer information and transaction history. Sales from all your sales channels are pooled into Connected Business's Order Management list. Order workflows can be customized to have the quickest and most efficient order fulfillment workflow. Credit control tools are available to keep your receivables in check.

Terminologies

  • Customer Class Template - A list of default values for new customers e.g. pricing, payment method etc.
  • Ship To Class Template - A list of default values for customer shipping addresses e.g. sales tax, shipping method etc.
  • Customer GL Class Template - A list of default account codes for posting transactions.
  • Sales Quote / Proforma - A document that lists items and current price inquired by the customer. This is usually followed by a sales order.
  • Picking Ticket - A document that lists items for picking. This is usually given to the stock personnel when picking.
  • Stock Allocation - A process that commits or reserves stock to customer orders.
  • Packing List - A document that lists items for packaging. This is usually given to the stock personnel when packaging.
  • Delivery Note - A document that lists items for delivery. This is usually printed and sent along with the package.
  • Credit Memo - An outstanding amount that you owe to the customer. This amount can either be for an overpayment or returned items. Credit memos can be applied to unpaid invoices.
  • RMA - Or Returned Materials Authorization - is a document that records goods returned by the customer. This is usually followed by a Credit Memo or Refund.
  • Invoice - A document that lists items that are payable by the customer. There can be early payment discounts when the invoice is paid before the due date or additional charges when the invoice remains unpaid after the due date.
  • Gift Card - A discount scheme that allows customers to load up gift cards and reload if needed. Gift cards can be used to purchase items from the store.
  • Gift Certificates - A  discount scheme that allows customers to use gift certificates. This can be used on web orders, on-site orders and phone-in orders.
  • Coupon - A discount scheme that allows customers to use coupon codes. This can be used on web orders, on-site orders and phone-in orders.
  • Loyalty Points - A discount scheme that allows customers earn points from purchases and redeem them when they have accumulated enough points. This can be used on web orders, on-site orders and phone-in orders.
  • Receipt - A process that creates a receipt of payment from the customer.
  • Payment Allocation - A process that applies a payment or available credit to an unpaid invoice.

Features

With the Customer Management tools of the Customer Module, you can:

  • Create or import customer records. Use class templates to fill in default information for new customers with common attributes e.g. customer with wholesale pricing and expected to pay within 30-days after invoice date.
  • Set up, track and reward customer loyalty points. Points can be used to pay for part of or the entire purchase.
  • Avoid shipping issues by verifying the customer address.
  • Set up unlimited contacts split by type.
  • Set up separate logins per customer contact.
  • Set up product filters per customer contact.
  • Access CRM tools for create notes, email, activity, opportunity or documents per customer contact.
  • Set up preferred customer pricing and discounts.
  • Full transaction history with document drill down.
  • Accounts receivable dispute management.

With the Sales Order Processing tools of the Customer Module, you can:

  • View and manage sales orders coming from all sales channels - eCommerce websites (Connected Business eCommerce, Amazon, eBay etc), Point-of-Sale and phone-in orders.
  • Customize sales order workflow - Create quote, approve credit, print picking note, print packing list, ready to ship/invoice. Process each stage in the workflow by batch.
  • Go from sales order to invoice or skip the sales order process and create an invoice.
  • View stock levels across all warehouses and stores and change the source location for an item when needed.
  • Add kit items, matrix items or bundle items via a simplified interface. Avoid having to pull up each part of a kit or looking through each color or size.
  • Up-sell similar items or cross-sell additional items.
  • Add serial numbers for expensive items or lot numbers for items with manufacturing or expiry dates.
  • Allocate remaining stock or reserve stock from incoming items.
  • Apply negotiated pricing.
  • Apply discount coupons - percent, flat amount, free shipping, limited-time only.
  • Accrue or redeem customer loyalty points.
  • Sell or redeem gift certificates / gift cards.
  • Estimate delivery time per item.
  • Create back orders for unavailable items. Create special purchase orders or dropship items from the supplier.
  • Accept full payment, installment or put orders on account.
  • Duplicate orders or set up recurring sales orders.

With the Sales Agent / Rep and Commission tools of the Customer Module, you can:

  • Define sales territories and assign sales rep groups.
  • Calculate commission on the sale or profit.
  • Split commissions among sales representatives per sale.
  • Automatically get an expense bill for commission pay outs.
  • Set a different website theme for affiliates.

With the RMA tools of the Customer Module, you can:

  • Put back returned items to the inventory or discard.
  • Refund customer or create credit and apply to unpaid or future invoices.
  • Let customers initiate returns online or have their returns processed from the store.

With the Credit Control Management tools of the Customer Module, you can:

  • Track aging and overdue debts for a customer or all customers. See a customer's oldest unpaid invoice or largest unpaid invoice.
  • Note down promised payments and follow up.
  • Send invoice copies or statements via the lowest cost route.
  • Filter customers with overdue balances and send due notices via the lowest cost route.
  • Put a customer account on hold.
  • Predict cash flow based on the average number of days it takes individual customers to pay.

With the Report tools of the Customer Module, you can:

  • View transaction report such as sales day books, net sales, aging analysis etc.
  • Create a custom criteria for the reports to generate.
  • Print reports, send via email or fax or save as a PDF file.
